Give every submission a clear next step

A lead form is the beginning of an operational process. The useful outcome is a customer receiving the promised next step and your team knowing what happened. Map the journey before increasing lead volume.

A service enquiry usually needs qualification and a conversation. A giveaway entry may only need entry confirmation and whatever marketing follow-up the person has agreed to receive. Treating these as the same intent can create disappointed customers, poor sales priorities and misleading performance reports.

Choose the path first, then connect the form to the tools already responsible for that path. Our lead quality guide explains how to define a qualified opportunity.

Write the form-to-CRM contract

Record the form ID, campaign purpose, destination system, required fields and the exact record type to create. Include submission time and timezone, source identifiers, service or offer requested, and the permission information your follow-up process requires. Keep the original source alongside any later source changes.

Map each field explicitly. A budget answer stored in an unmapped note is easy for sales to miss. Agree what happens when a field is blank, invalid or changed in a new form version. Test the revised form before sending traffic to it.

Choose an idempotency key, such as the provider's unique submission identifier, so retries do not create duplicate leads. Preserve repeat genuine enquiries as appropriate while distinguishing them from a retried delivery of the same submission.

Map the service enquiry path

  1. Receive: store the submission and confirm successful delivery.
  2. Route: assign by service, location or another useful rule.
  3. Acknowledge: explain the next step using an approved message.
  4. Contact: create a task for the responsible person within the team's agreed coverage hours.
  5. Qualify: record fit, timing and the outcome of the conversation.
  6. Progress: move to appointment, quote, won, lost or a clearly defined follow-up stage.

Set a response target that your staffing can actually support. Define an after-hours path and an escalation owner. A five-minute aspiration without coverage and alerts is not a working service level. Track time to a real contact attempt separately from the automated acknowledgement.

Keep giveaway entrants on their own path

Tag the source promotion and store the entry details required by its rules. Send entry confirmation through the approved process. Keep marketing permissions and suppression rules intact when transferring records between systems. Entry alone should not silently become a sales appointment.

Use the email or CRM platform the business actually uses. A Shopify-based workflow and a Klaviyo-based workflow need different configuration and verification. Do not assume every store has the same stack because another client does.

Measure entry cost, delivery health and later purchase outcomes separately. A large inexpensive entrant list is not equivalent to a large qualified sales pipeline. The BFCM planning guide shows how to connect list building to a later offer without assuming every subscriber will buy.

Design the failure path before launch

Integration errors need a visible owner. Store the delivery result, retry only appropriate failures and surface records that remain unresolved. Where a timeout leaves the write outcome uncertain, check whether the record already exists before repeating it.

Monitor submission counts against successfully created records over the same period. Investigate missing records and unexpected duplicates. An integration marked “connected” does not prove that the latest form fields are arriving or that the assigned salesperson receives an alert.

Test permission changes, a deliberately invalid field and a duplicate delivery in a safe test context. Check that failures become actionable tasks rather than disappearing into an automation log nobody reads.

Close the loop with actual outcomes

Return qualified and won outcomes to the reporting process using stable definitions. Distinguish requested appointments, confirmed appointments, attended appointments and paid work. Keep actual paid value separate from estimated pipeline value.

Where supported and appropriate, send validated downstream events back to the advertising platform. The Meta offline conversion guide covers this part of the system. Reconcile delivery and duplicate handling before changing the campaign's optimisation signal.

Review one mature lead cohort each week. Look for the biggest leakage point: missing records, unassigned leads, slow contact, poor fit, no-shows or lost quotes. Fix that stage with a named owner and review date.

What does a complete launch test include?

Is a test submission enough?

No. Follow it through record creation, assignment, acknowledgement, task creation and outcome reporting. Use a safe test record and prevent test revenue from entering live optimisation.

Who owns the integration?

Name one operational owner and one technical escalation contact. “The agency and the client” is too vague when a lead goes missing.

What should the client see?

A short process map, the response commitment, the meaning of each stage and the outcome report. Download the handoff checklist below and confirm the owners before launch.

The useful part of a guide is what you can put into the next brief, launch or review. These are deliberately plain files your team can copy, edit and keep.
